EDI integration for 3PLs
Good 3PL warehouses shouldn't lose mornings to EDI errors.
We onboard your trading partners, fix the maps, and connect your WMS to EDI, so orders, receipts, ship notices, and invoices go through the first time.
Free, no obligation. We look at where your EDI is breaking and tell you what we'd fix first.
The person who looks at your EDI is the person who fixes it. No hand-offs, no junior team, and we write down everything we change.

3PL EDI services
- new customers
Trading partner onboarding
A new customer or retailer sends an 80-page spec. We read it, build and test the maps, and get you through certification.
- the warehouse set
Document mapping
Maps built to what each partner's spec actually says, for the full warehouse set.

- no re-keying
WMS-to-EDI integration
Receipts and shipments in your WMS send the right document out. Nobody re-keys orders or exports spreadsheets.

Checks on your EDI, with AI where it helps
Wrong 856s held before they send, rejects sorted by cause, and 945s matched to what the WMS shipped. A person reviews everything flagged.

How one order moves
One order, four documents. Any one can stall it.
This is the path most 3PL orders take. When something breaks, it's almost always at one of these hand-offs.
- 01940Warehouse shipping order
Your customer tells you what to pick, pack, and ship.
- 02WMSYour warehouse system
The order is picked, packed, shipped, and closed out.
- 03Check here first945Warehouse shipping advice
You confirm what actually left the dock.
- 04856 · 810Ship notice and invoice
The ASN goes to the retailer and the invoice follows, often built from your 945.
When a 945 never goes back, it's usually an order nobody closed, a map problem, or the wrong warehouse event. We find which one. Read: EDI 940 vs 945 →
Why 3PLs work with us
Small on purpose.
We start small
Every engagement starts with a free 30-minute review. If we can't help, we'll say so.
Plain explanations
You'll know what was broken, what we changed, and why. We document it so you aren't dependent on us.
Your systems, not new ones
We work with the WMS and EDI platform you already have and only suggest a change when one can't do what your partners require.

Short answers to what 3PLs ask us most. If yours isn't here, email or call.
What is a 945?
A 945 is the Warehouse Shipping Advice. The 3PL sends it to the customer after an order ships, confirming what went out, in what quantities, and how. If 945s are late or wrong, the customer's inventory and billing fall out of step with what actually left the building.
Which EDI documents do you work with?
Mainly the warehouse set: 940 (warehouse shipping order), 943 (stock transfer shipment advice), 944 (stock transfer receipt advice), 945 (warehouse shipping advice), 856 (ship notice / ASN), and 810 (invoice). We also handle the 997 acknowledgments that go with them.
How long does an EDI integration take?
It depends on the trading partner's specs, how fast their testing team responds, and what your WMS and EDI platform can already do. A single partner with clear specs can move quickly; a large retailer with strict certification takes longer. After the free review we give you a realistic timeline for your case.
Do you only work with 3PLs?
EDI for 3PLs is our main focus. We also help their customers and other shippers with customs and trade compliance, such as HTS classification and import documentation.
Do we need to change our WMS or EDI platform?
Usually not. We work with the systems you already have and only suggest a change if something truly can't do what your partners require.
What happens in the free 30-minute review?
You tell us what's breaking, we look at it with you, and we tell you what we'd fix first and roughly what it would involve. There's no cost and no obligation.
What is the difference between an EDI 940 and a 945?
They are a pair. The 940 is the warehouse shipping order: the customer tells the 3PL what to pick, pack, and ship. The 945 is the warehouse shipping advice: the 3PL reports back what actually shipped, including quantities, carrier, and tracking. If a 940 comes in and no 945 goes back, something stopped between the two, often an order hold, a mapping problem, or a confirmation tied to the wrong warehouse event. Read the full guide: EDI 940 vs 945.
What is the difference between a 945 and an 856?
A 945 goes from the 3PL back to its customer to confirm a shipment. An 856, the advance ship notice or ASN, goes to the retailer receiving the goods and describes what is on the truck, down to cartons and labels. In many setups the customer builds the 856 from the 945, so a late or wrong 945 can turn into a late or wrong ASN.
Why would a retailer reject an 856 ASN?
The usual causes are an ASN sent after the truck arrives, carton label numbers (SSCC) that don't match the ASN, quantities that don't add up through the hierarchy, a wrong PO or ship-to number, or missing carrier and weight details. Check the 997 first to see whether the file was rejected for its structure, then any 824 or retailer report for business-rule errors. Read the full guide: why retailers reject 856 ASNs.
Do you work with Extensiv (3PL Central) and other WMS platforms?
Yes. We work with the WMS and EDI provider you already use, including Extensiv 3PL Warehouse Manager, and help connect warehouse events like receipts and shipments to the right outbound documents. We're based in New Jersey and work with 3PLs anywhere in the US.
